We are looking for a highly organised Junior Data Entry Administrator to support the finance and account teams within a fast-paced marketing agency environment. This role plays an important part in ensuring financial processes run smoothly across campaigns and projects.
The successful candidate will assist with supplier invoicing, client billing administration, and the management of purchase orders against approved cost estimates. This role requires strong attention to detail and the ability to manage multiple financial documents and processes simultaneously.
Purchase order & cost estimate management
- Issue purchase orders (POs) against approved cost estimates (CEs)
- Ensure all POs align accurately with signed and approved cost estimates
- Maintain clear records of all POs and supporting documentation and track multiple active POs across campaigns and projects
- Work closely with account teams to ensure financial processes follow approval workflows
Financial administration
- Capture and process supplier invoices accurately in the accounting system
- Ensure invoices correspond correctly with issued purchase orders and approved cost estimates
- Maintain organised financial records and documentation and assist with financial reconciliation and resolving discrepancies
Accounts payable & receivable support
- Assist with supplier payment preparation and tracking
- Communicate with suppliers regarding invoice and payment queries
- Support the monitoring of outstanding invoices
Reporting & finance support
- Assist with updating financial trackers and budget monitoring spreadsheets
- Support the finance team with monthly reporting preparation
- Assist with documentation required for finance reviews or audits
- Maintain organised digital filing systems for financial documents
- Assist with ad-hoc administrative and finance-related tasks as required
Requirements
- 1–2 years experience in a finance administration, accounts, or bookkeeping role
- Experience working with purchase orders, invoices, or cost and project budget tracking (advantageous)
- Understanding of Xero accounting software (advantageous)
Skills
- Strong attention to detail and accuracy
- Excellent organisational skills with the ability to manage multiple documents and processes
- Strong administrative capability and record keeping
- Proficiency in Microsoft Excel / Google Sheets
- Basic understanding of accounting processes
- Good communication skills when working with internal teams and suppliers
